OFFICE MANAGER

What You’ll Be Doing

No two days will look the same, but you can expect to:

• Keep the office running — from coordinating operations, supporting financial administration, to coordinating staff and corporate events.

• Be the people person — supporting recruitment, onboarding, employee programs, and HR needs.

• Support leadership — managing calendars, travel, meetings, and confidential communications.

• Jump into business development — maintaining our CRM (HubSpot), assisting with proposals and presentations and keeping client relationships strong.

Key Responsibilities

Office & Administrative Management

• Oversee daily office operations, facilities, and vendor relationships.

• Manage document control, record keeping, and office procedures to ensure efficiency and compliance.

• Support financial administration, including invoicing, AR/AP functions, reconciliations, and staff expense tracking.

• Coordinate staff and corporate events

Human Resources Coordination

• Manage the full employee lifecycle: job postings, recruitment, onboarding, training, performance reviews and offboarding.

• Administer benefits, leave requests, and employee records (HRIS/Payworks, Replicon).

• Provide guidance on HR policies, ensuring compliance with employment laws and company standards.

• Generate HR reports and metrics to track performance indicators and identify trends.

Business Development & Client Relations

• Support client relations and account management by maintaining and updating CRM systems(HubSpot) with client interactions, leads, and business development activities.

• Prepare client proposals, presentations, and studies in collaboration with technical teams.

• Assist with contract negotiations and administration and proactively manage customer subscription renewals.

• Conduct client and market research to support business development, including identifying new opportunities.

Executive Support

• Manage executive calendars, travel arrangements, meetings, and correspondence.

• Prepare agendas, reports, presentations, and meeting notes for senior leadership and board meetings.

• Act as liaison between executives, staff, and external stakeholders, ensuring effective communication.

• Handle confidential information with discretion and professionalism.

What You’ll Bring

• 5+ years of experience in administration, HR, executive support, or business development.

• Preferably a diploma/degree in Business Administration, HR, or a related field.

• Proficiency with Microsoft Office and experience with HRIS/CRM tools (HubSpot, Payworks, Replicon a plus).

• Excellent organizational, multi-tasking and time management skills — you can juggle multiple priorities with ease.

• Strong written and verbal communication skills and the ability to work with people at all levels.

• A proactive mindset with a knack for problem-solving and process improvement.

• High attention to detail and ability to manage sensitive information.
